Notes

Prerequisites

You should be familiar with or have completed the Viewing Forms exercise in the Review section (Program Operations tutorial).

Objective

In this exercise, you will use the Notes screen to enter supplemental information and append sections of the client letter.

Facts

Enter the following information for a sample client:

Client name Supplemental Information

Notes Data entry:
Statement 1 This exercise illustrates the uses of the Notes input.
Statement 2 This statement is the second one entered.
Letter Misc 1 This is the first paragraph in the client letter.
Letter Misc 2 This is the beginning of the final paragraph in the client letter.

View the Client Notes and Client Letter at the Forms tab. Note the placement of the letter items in the client letter.

Program Considerations

How?

To enter Notes:

  1. Open the sample client.
  2. Open the Notes screen from the Contents tab.

    When you open the Notes screen, the program automatically adds a Worksheet to the Federal (US) return. You can edit which returns to attach the worksheet to (see Step 6 below) or make a different Print As selection.

  3. Select Statement in the Print As section.

  4. Type the applicable text for "Statement 1" from the Notes table from above.
  5. Add a second statement by clicking Add.
  6. Attach this statement to the Federal return by checking the box. (The program does this automatically when there are no states in the return.)

    If there were states listed, you could attach the statement to those returns as well.

  7. Click OK.
  8. Type the applicable text for "Statement 2" from the Notes table above.

To enter letter items:

  1. Open the sample client.
  2. Open the Notes screen from the Contents tab.
  3. Select Letter Misc 1 in the Print As section.

  4. Type the applicable text for "Letter Misc 1" from the Notes table above.
  5. Select Letter Misc 2 in the Print As section.
  6. Type the applicable text for "Letter Misc 2" from the Notes table above.

To view Client Notes:

  1. Highlight or open the sample client.
  2. Click the Forms tab.
  3. Click the Client Notes tab at the bottom of the forms view.

To view the Client Letter:

  1. Highlight or open the sample client.
  2. Click the Forms tab.
  3. Click the Letter tab at the bottom of the forms view.

Tips & Shortcuts

You can use keystrokes to cut ([Ctrl]+[X]), copy ([Ctrl]+[C]), and paste ([Ctrl]+[V]) text into the Notes screen. You can also right-click highlighted text to access these features.

Review

You should have a sample client with Client Notes and a modified Client Letter generated from the entries in the Notes screen.

Troubleshooting

Problem: The text toolbar is grayed out in the Notes screen when I select Statement.

Solution: The text toolbar is only applicable for Letter Misc 1 and Letter Misc 2. All statements and worksheets are formatted to appear like statements and worksheets that are automatically produced by the program.
